The Chicagoland Property Manager’s Guide to Commercial Landscaping

Being a Chicagoland property manager is no walk in the park.

Being a Chicagoland property manager is no walk in the park. It's not just about balancing the day-to-day demands that require tedious attention with conceptual, big-picture duties – it's about making sure that every decision, even the ones about commercial landscaping, is made as intentionally as possible.

You've already got a lot on your plate – tenant and resident expectations, ownership priorities, budgets, vendor relationships, and more. Landscaping, well, that's just one small piece of the puzzle.

But when it falls short? It quickly becomes another problem added to your list of to-dos.

That's why the right commercial landscaping program matters so much.

It's about more than just keeping the grass cut and the shrubs trimmed; in fact, at its core, it's about the perfect balancing act of making your job easier, keeping ownership happy, and appealing to residents or tenants.

And the best commercial landscaping does even more: It provides consistent property care that anticipates and proactively tackles issues or needs so you don't have to, is clear about what work is always included, and handles what needs attention next.

The right commercial landscaping program should do more than keep the grass cut.

The problem? It can be hard to figure out how to find the perfect partner who tackles all of that and more. Thankfully, that's what this guide is for.

First Things First: What Is Commercial Landscaping?

The word "landscaping" makes so many of us mentally flash to someone haphazardly riding a lawnmower, cutting the grass, blowing the leaves off sidewalks, and rushing out to the next job.

But commercial landscaping is so much more than that.

If you ask us (and you're reading this, so you are), commercial landscaping is the ongoing maintenance, improvement, health management, and seasonal care of outdoor areas at commercial and community properties.

In other words, it's the proactive care of landscape on commercial properties like yours.

Services usually include things like:

routine grounds maintenance

landscape enhancements

Irrigation

tree and plant health care

landscape design and installation

snow and ice management

That said, every company will have a different suite of services to offer you. That's why it's so important to have a thorough understanding of what care looks like and how it fits your specific needs.

For property managers like you, that means understanding what work happens on-site, but more than that, how the contractor plans the year, monitors property conditions, communicates recommendations to you, and follows through.

Every program will look a little bit different, but generally, a well-managed and well-run program should help you:

Maintain a consistent, professional property appearance

Keep entrances, common areas, and shared outdoor spaces tidy

Identify developing landscape problems before they become bigger issues

Protect and care for turf, trees, shrubs, and other landscape investments

Plan seasonal work and property improvements

Understand service responsibilities and additional costs.

Spend less time following up with vendors and responding to complaints.

(Want to see what we include in our commercial landscaping services? We've got a whole page that walks you through everything we provide our clients.

Knowing how to pick the right commercial landscaping partner for your property takes time and careful discernment.

Our advice for first steps? Determine what your needs are in the first place before interviewing partners.

Establishing what you're looking for can help you weed out what you do and don't need when evaluating potential partners.

What Services Are Usually Included in Commercial Landscaping?

We want to get right out ahead of this question with a firm disclaimer: every commercial landscaping company is going to offer something different.

In most cases, commercial landscaping should include things like:

Recurring maintenance

Planned improvements

Specialized horticultural services

Irrigation management

Potential landscape design and installation help

Winter and seasonal operations (like snow removal)

Every partner will be different, and the right service combination wholly depends on your property, its existing conditions, your expectations, and, of course, the budget.

Commercial Landscape Maintenance Keeps the Property Maintained

Commercial landscape maintenance is the main pillar of an ongoing landscape program.

At its core, the purpose is to preserve existing landscape conditions while supporting plant and turf health.

Ultimately, it's about protecting investments and making sure the property looks cared for year-round.

Most often, this means a partner will provide services like:

Mowing, edging, and trimming

Landscape bed maintenance and weed control

Shrub and hedge pruning

Turf care and health monitoring

Routine fertilization

Seasonal cleanups and debris removal

Common-area and entrance upkeep

Routine property inspections and reporting

See how it's so much more than just a guy on a riding lawn mower?

Consistent, reliable services like these are all necessary to keep a commercial property looking beautiful and functioning the way it should.

Of course, the services and visits will depend on a property's needs and the agreed-upon scope of work.

We can't speak for every one of our commercial landscaping partners out there, but at Alan Horticulture, we do tend to follow a pattern of weekly service during the growing season for our clients.

Landscape Enhancements Improve Areas That Routine Maintenance Cannot

Commercial landscaping isn't just about consistent care and keeping the property status quo – a great program also focuses on specific landscape enhancements that can improve or update areas that need a little more than routine care.

If your space is struggling with declining plants or decaying beds, landscape enhancements can look like replanting those aging plants or renovating those beds. It could also look like:

Restoring turf

Installing and cycling seasonal color

Improving draining

Updating irrigation

Refreshing an entrance or common area

Sometimes, the solution for an area might be a landscape enhancement rather than a routine visit because they can tackle something in a pinch without the need for a full and complete redesign.

Landscape Design & Installation Tackle Larger Property Changes

In cases where routine maintenance and simple enhancements just won't cut it, targeted improvements might be the go-to solution.

That's where a commercial landscaping partner who offers landscape design and installation might be the right choice.

Larger design and install projects often include services like:

Redevelopment or rebranding

Major entrance renovations

Extensive planting replacements

Site evaluations

Planting design

Sod and turf installation

Tree and shrub replacement

Full landscape renovations

Irrigation Management for Proper Support

Irrigation is essential to every landscape management plan. Without a properly functioning irrigation system (that runs reliably), no landscape can thrive.

Think about it this way: The condition of an irrigation system directly affects turf and plant health, which directly impacts your investment.

Tree and Plant Health Care Protects Your Established Landscape Assets

It's true that routine maintenance helps keep trees and shrubs looking cared for, but declining plants might need more targeted attention to continue thriving.

Tree and plant health care can include services like

Plant health evaluations

Seasonal pruning or trimming

Fertilization programs

Soil support

Ongoing monitoring

It's not always as simple as a trim here or a prune there. When mature trees or shrubs are on the decline or constantly struggle, it's possible that specialized plant health care is needed – and having a commercial landscaping partner who offers that is a huge benefit.

Snow and Ice Management for Safe Winter Access

This is especially relevant in our snowy Chicagoland. For many property managers, the "commercial landscaping" gig ends when the snow falls, and the flora and fauna go dormant.

But a proper commercial landscaping plan includes snow and ice management! Just because the growing season is over doesn't mean your landscaping provider should dip out until things thaw.

Proper snow and ice management helps maintain access to your property, including areas like parking lots, walkways, and entrances.

Services for snow and ice management might include:

Snow plowing and removal

Sidewalk clearing

Deicing

Ice control

Pretreatment

Site monitoring

This part of a contract should have a clearly defined scope – especially as it pertains to responsibilities and scheduling requirements.

As property manager, you need to understand which areas are covered, how services are coordinated, and how weather-related updates are communicated back and forth.

What Should Commercial Landscape Maintenance in Chicagoland Look Like Throughout the Year?

As you might expect, commercial landscape maintenance services will change along with our seasons.

Though there will always be a little nuance to every season, we typically look at seasonal needs this way:

Spring: Recovery and preparation. We look at spring as the time to evaluate the landscape after winter and get it ready for an active growth season. It's also a time to identify upcoming improvements for the next season – a little proactive work so that we don't have to react to a larger problem later.

Summer: Consistent maintenance and monitoring. This requires a lot of consistent maintenance and monitoring. Mostly, we want to make sure the property stays consistently neat, tidy, and presentable while also monitoring changes.

Fall: Cleanup and winter prep. This might include leaf cleanup, turf improvements, appropriate aeration and overseeding, planting work, and irrigation system checkups or shutdowns. Before the snow hits, we use the fall season as a time to document areas that need attention in the next budget cycle so we can help property managers plan ahead.

Winter: Protect and prepare. Winter shifts priorities toward safety, for the most part. Snow and ice management become the key goals so that safe access and property operations are possible no matter the weather. We always encourage property managers and ownership to look at winter as the perfect planning period, too.

Obviously, as a disclaimer, the exact schedule depends on a property's conditions, what our service agreements are, and the changing weather.

How Can You Tell if Your Landscape Is Being Well Managed?

The tough thing about being a property manager is that you need to have "expertise" in so many more areas than you might think – landscaping included.

Let us be clear – it's not important that you know everything about commercial landscaping (that's what your provider is for). But it is important to know enough that you can tell when your provider is doing right by you and your contract.

Truly proactive commercial landscape management means more than showing up on time and tackling a to- do list; it also means handling things like:

Identifying issues that could snowball

Communicating recommendations

Planning next steps

You deserve consistent observation and clear accountability! Make sure that's a priority.

How Property Managers Should Budget for Commercial Landscaping

How a budget works, ultimately, is up to ownership, property managers, the board, stakeholders, and whoever else has interest and authority in the property.

From a provider standpoint, though, we can say a useful commercial landscaping budget separates recurring maintenance from specialized services, corrective work, and planned improvements.

In the long run, this will give you a clearer view of predictable expenses and additional investments that could pop up during the year.

We recommend a budget that's organized similarly to this format:

Separate routine maintenance from nonroutine work: It's helpful to start by understanding which services are included in the regular agreement and which are separately scoped. This might include recurring services (mowing, pruning, seasonal cleanup, etc.), specialized services (irrigation repairs, plant health, etc.), seasonal operations (fall cleanup, snow removal, etc.), and planned improvements (landscape renovations, drainage improvements, etc.).

Plan larger improvements separately: It's not always necessary to include your larger improvements in the routine scope of landscape maintenance. If you know that you've got bigger projects on the horizon, you can handle it under a separate estimate to keep things streamlined.

Budget for conditions that go beyond just maintenance: Even if, in an ideal world, you only want routine maintenance, it's helpful to budget for more just in case. Things like aging plants, drainage issues, and even irrigation system problems can all pop up suddenly – and most of these need to be addressed ASAP. Automatically planning to include these in your budget can keep costs down.

What to Expect in a Commercial Landscaping Contract: What Should Be Included

Every contract, just like every provider and property, is going to be different. That said, no matter what, every commercial landscaping contract should have a few things in common.

We think the best commercial landscaping contracts always tackle:

Scope of work

Service frequency

Seasonal responsibilities and changes

Expectations and outcomes

Clear language for out-of-scope work and additional projects

Communication plans, expectations, and defined account management

Defined Scope of Work and Service Frequency

When you read a broad phrase like “landscape maintenance," you don't always know what you're getting. And while landscape maintenance might need to change and evolve over time depending on the property, the weather, and issues that arise, your scope should still be clearly defined ahead of time.

Review your agreement. Always confirm everything aligns with what you discussed – like scope, responsibilities, and property requirements.

Outlined Communication a

Your agreement should always list who manages your relationship, how service updates are communicated, how weather affects scheduling, and who approves additional work.

Above all, it should have a clear plan set out for communication in general – for additional requests, regular communication, and complaints or issues. That should always be laid out ahead of time.

Clarified Enhancements and Specialized Services

Don't assume landscape improvements, enhancements, or even seasonal work are just "included" in your contract if they're not listed in it.

Alwaysask which services are covered and make sure they all make their way into your contract (in writing!).

Can a Commercial Landscaping Company Have Good Communication? They Can – Here's How

We'll level with you – landscaping companies get a bad reputation when it comes to communication. And oftentimes, those reputations are the result of not focusing on communication.

The tricky part is that the best partnerships begin and end with clear communication. At Alan Horticulture, our team is a stickler for this – we strive to be the landscaping company that completely changes your mind about how landscape providers communicate.

When it comes to choosing a provider, above all, make sure their communication plans are solid. Here's what we think "good communication" means and what you should look out for.

A Dedicated Person Should Understand the Property and Own the Relationship

A dedicated account manager is your point of contact. Further, they're the ones who develop your relationship!

Knowing property, its expectations, and its priorities helps coordinate communication between the client and field teams.

Property Managers Should Always Know What Happened and What Happens Next

Useful communication covers more than just scheduling and completed work – it also includes scheduling changes, developing concerns, recommended improvements, timing, and approval requirements.

Above all, the style and frequency of communication should always make it easier for you to answer questions from residents, tenants, boards, and ownership.

This is not a hard thing to do when the landscaping contractor provides clear information and recommendations.

How to Choose the Right Commercial Landscaping Company in Chicagoland?

Choosing a commercial landscaping contractor is tricky. In some ways, it feels like you have to be a landscaping expert yourself to make the right choice. Truthfully, though, knowing just a few things that matter can help guide you toward a better decision.

Here's what we suggest every property manager considers when looking for a partner:

Experience with properties similar to yours: Being a "commercial landscaping" partner isn't enough – they need to know what to anticipate and expect with your type of property. Look for a contractor whose services and experience align with your property's requirements, because HOAs, commercial facilities, factories, and beyond will all have different needs.

Clear expectations of management between visits: A contractor should be able to explain how ongoing oversight and communication work, not just what tasks crews perform during scheduled visits.

Clear explanation of price and scope: Before comparing totals, make sure you understand what each proposal covers. A clear scope makes it easier to evaluate value and identify potential gaps. It's tempting to go for the lower price – but you might not be getting everything you need.

Capabilities beyond regular maintenance: Maybe you'll eventually need more than you think (like irrigation services or plant health care). Can this provider give you those things? Can you keep all your landscaping needs under the same roof? Even if you don't need it now, what can they help you with in the future?

Local expertise is a must: A contractor serving the Chicagoland suburbs should understand the seasonal transitions that affect our area and have plans of action that account for these seasonal shifts.

The Telltale Signs a Commercial Property Needs More Than Routine Maintenance

Persistent decline is the most common sign that routine maintenance won't cut it. That – paired with recurring water issues, outdated or decaying plants, and property changes – is usually a red flag pointing to larger, more planned improvements.

In properties that need more than routine maintenance, we typically see:

Desperate need for upgrades: If entrances look dated, planting beds are declining, or the property continues to look worn despite consistent care, targeted enhancements are probably a better choice than more maintenance.

Tree, shrub, and plant decline (despite maintenance): Repeated plant failures are a telltale sign of issues that need more than maintenance.

A purposeful need for a redesign or installation: Redevelopment, rebranding, major entrance renovations, and extensive landscape replacements may require design and installation.

Recurring water, soil, and turf issues: If you're dealing with standing water, bad drainage, or turf trouble, there's probably a larger issue at play that needs more help than standard maintenance.

How Our Team Tackles Commercial Landscape Management

At Alana Horticulture, we've proudly provided commercial landscaping services to our Chicago-area property partners since 1978. Our whole approach is based on our four-step process that helps us ensure we meet every property's needs, maintain communication, and balance expectations.

Evaluate: We always understand each property's expectations, the unique priorities, and service needs to make sure we're actually the right fit for the job.

Define: Our team clarifies the scope, priorities, and seasonal needs so everyone understands what the program is designed to accomplish. Communication is a huge priority from the beginning. You should never question what's included, what's not, or how we'll handle your property.

Execute: Our team tackles everything we talked about according to plan, in scope, and on budget.

Manage: We never let your property's priorities fall by the wayside. We provide ongoing monitoring, communication, and recommendations to identify any issues and address concerns before they become bigger problems.

Commercial Landscaping FAQs for Chicagoland Property Managers

How often should a commercial property get landscape maintenance?

Maintenance schedules will totally depend on the property and its unique needs.

Are landscape enhancements included in routine maintenance?

Not always! Landscape enhancements are generally distinct from routine maintenance unless the contract explicitly includes them. That's an important question for your provider.

Is snow removal part of commercial landscaping?

Winter services should have a clearly defined scope covering responsibilities, service expectations, and communication in your contract. Not every provider will include these, so it's important to see them in writing.

What is the difference between commercial landscaping and grounds maintenance?

Grounds maintenance is more about basic upkeep (maybe mowing, pruning, and bed maintenance). Commercial landscaping is a broader category and can include maintenance, enhancements, irrigation, plant health care, design and installation, and seasonal services.

When should a property manager consider changing landscaping companies?

The signs are usually repeated service failures, unclear scope, poor communication, inconsistent execution, and problems addressed only after complaints. Review your contract and discuss specific concerns before you decide what comes next.

Make Commercial Landscaping One Less Thing You Have to Manage

As a property manager, you already have enough moving parts to contend with – we want your commercial landscaping to be simple, seamless, and successful.

Whether you're reviewing an existing program, preparing to bid a contract, or identifying improvements for next season, the first step is understanding your property's needs and what it will take to manage them effectively. We can help you with that and more.

Ready to take a closer look at your landscape program? Reach out to our team for a free consultation, tell us about your property and priorities, and explore if we're the right fit for you.

Maintaining commercial landscape plant health is beneficial not just to the appearance of your property, but also to your budget, peace of mind, and the experience of your tenants, residents, and visitors.

While your lawn, flower beds, and seasonal installations all play an important role in the comprehensive big picture of your commercial property, your trees and shrubs are the consistent backdrop. They set the tone, year after year.

If you notice that something is amiss or are worried that your trees and shrubs might be deteriorating, it’s important to promptly pinpoint the problem and address it before it worsens. The following guide to shrub decline signs and tree stress symptoms will help you identify areas of concern quickly and get them the help they need.

What's Inside This Commercial Landscaping Guide

The Common Symptoms of Shrub Stress and Signs of Tree Decline

Plant Health FAQs for Property Managers

Commercial Tree Care in Chicagoland

Commercial Landscape Plant Health: Signs of Trouble Property Managers Need to Know

Life as a property manager can be rewarding, but it is not without its challenges. If you notice that something about your landscaping seems strange, your mind can spiral in a multitude of directions.

Is this normal, or is the plant unhealthy? What could be causing this tree’s decline? Do I need to hire a professional? How will this affect our landscaping budget?

All of these questions (and more) can occur in a moment, leaving you feeling overwhelmed and uncertain. Thankfully, you do not have to face them alone. With the right guidance, you can learn to recognize the signs of tree stress and shrub health concerns, act with confidence, and ensure that the problem does not escalate.

The Common Symptoms of Shrub Stress and Signs of Tree Decline

Noticing the signals that a tree is unhealthy or that a shrub is experiencing issues is essential to getting your plants the professional help they need to bounce back and thrive. While there is a myriad of signs that could indicate plant health problems, some are more common than others.

As a property manager, you don’t need to be an expert in plant health, but you should be prepared to recognize the most common indicators that something is amiss in your landscape.

Your Commercial Property Doesn’t Look Good

Oftentimes, the eye test is all that’s needed to realize something is wrong. Even if you are working with a commercial landscaping company, a property that does not live up to your standards for appearance and curb appeal is a property that warrants a thorough evaluation.

Some of the telltale signs of poor commercial landscape plant health include dead branches, thinning canopies, out-of-season discolored leaves, noticeably declining shrubs, and visible damage to plants in an otherwise well-maintained landscape.

Your Residents and Tenants Complain

Listening to feedback from your residents, tenants, employees, clients, and visitors is key to running a successful commercial venture of any kind. When it comes to your commercial landscape plant health, complaints about unsightly trees or dying shrubs should be taken seriously.

Most residents and tenants will only complain when they consistently notice an issue and observe it worsening. They will also speak up if there is a perceived safety risk associated with the problem. Tree and shrub health often fit into both categories, making symptoms easy to notice, especially to those who encounter them day after day.

Plant Loss is a Recurring Theme

While the occasional need to replace shrubs or trees is not outside the norm, a pattern of losing plants is a telltale sign of poor health. Unhealthy trees and shrubs should rarely reach a state that requires aggressive intervention or replacement, so if either is a recurring theme, something is systematically wrong.

Plant loss is more than an unsightly inconvenience. Many commercial property managers operate within a defined budget, making each plant–especially trees and shrubs that should thrive for years–an investment. Every time you have to replace one, your budget is noticeably impacted.

Your Budget Keeps Taking Hits

There are more consequences to unhealthy tree signs and shrub decline signs than substandard curb appeal and some understandable frustration. The repeated need to invest in expensive commercial tree care, or worse, pay to replace dead plants, can quickly become a legitimate financial burden.

Specialized landscaping services can be expensive, especially when they are required with short notice. Replacing plants can be even more costly. By the time you purchase the plant, have it delivered and professionally installed, invest time and resources into it, and nurture it to a place of health, longevity, and visual appeal, you will be facing a significant budgetary setback.

Commercial Tree Care and Shrub Maintenance: The Challenges Property Managers Face

Learning to recognize the most common signs of plant health decline is a great way to prevent more severe issues from developing. However, identifying areas of concern is not the only challenge property managers face when it comes to landscaping.

Uncertainty Around Plant Health Problems

You are a property manager, not a landscaping expert. While you can become more adept at recognizing when something is wrong with your shrubs and trees, it is not your responsibility to pinpoint exactly what the issue is.

If you face uncertainty around commercial landscape plant health problems, don’t be dismayed; work with a local expert who can help guide you through the process of evaluation, diagnosis, and treatment.

Identifying Landscaping Problems Too Late

Accompanying the uncertainty you might feel regarding unhealthy tree signs and shrub disease signs is a reluctance to take action. What if your observation is normal? What if the plant is totally fine?

Unfortunately, any delay in getting your plants the help they need can worsen problems and lead to more costly solutions. It is far better to contact a landscaping professional who can identify issues early and develop a plan to correct them than to second-guess yourself and end up with a more significant blow to your budget.

Reactive Rather Than Proactive Care

When tree and shrub health is in decline, there is oftentimes an underlying theme of reactive care. This means that problems are addressed after they appear, trapping you in a persistent game of chasing new problems and never getting ahead.

Proactive care is the far superior alternative. With this approach, trees and shrubs are regularly evaluated, and areas of concern are addressed before they can worsen. This creates a more stable landscape where problems are typically minor, budget surprises are rare, and your trees and shrubs thrive without major intervention.

Treatment vs. Replacement for Unhealthy Plants

Property managers juggle many responsibilities, so it is not unusual for the replacement of unhealthy plants to appear to be the easiest, most efficient solution. However, not every tree or shrub in decline requires replacement, and jumping to this extreme can be surprisingly inconvenient and expensive.

Before you opt for a new plant–which will require installation, establishment, and significant investment–have the existing plant evaluated and diagnosed. It’s entirely possible that it could return to full strength with the right treatment, some pruning, and a professional touch.

Plant Health FAQs for Property Managers

What are the most common signs of unhealthy plants?

As a commercial property manager, the warning signs you should look for when it comes to plant health are: deteriorating curb appeal, frequent complaints from residents, and landscape-related budget setbacks.

How do I maintain a healthy commercial landscape?

The best way to maintain a healthy commercial landscape is to work with a reputable local professional who regularly evaluates your plants and provides proactive care rather than reactive treatment.

When should I replace an unhealthy tree or shrub?

It can be tempting to replace troublesome trees and shrubs, but it is best to get a professional opinion first. Allow a landscaping expert to evaluate, diagnose, and treat your plant. If they determine that the effort and expense to restore it are too involved, take their advice and replace it.

Whether you’re managing properties, making decisions for your HOA community, or in charge of a commercial business, landscaping plays a significant role in your curb appeal, resident and visitor happiness, budget, and more.

Whether you’re managing properties, making decisions for your HOA community, or in charge of a commercial business, landscaping plays a significant role in your curb appeal, resident and visitor happiness, budget, and more.

Most people in these positions strive to build a relationship with a reputable commercial landscaping company. This allows them to entrust their property to a local expert who can keep it healthy, visually appealing, and functional. When you find such a partnership, it creates an opportunity for you to turn your time and attention to other, more pressing topics.

However, this dream scenario is not always the reality. Sometimes, the landscaping company that was intended to be a solution to your property’s needs becomes the problem itself.

Learning how to read bad landscaping company signs can save you from a world of frustration, expense, and letdown. Read on for the common landscaping contractor red flags you should watch for with vigilance.

What's Inside This Commercial Landscaping Guide

Poor Landscaping Service Signs

Landscaping Contractor Red Flags

How to Avoid Commercial Landscaping Company Problems

Poor Commercial Landscaping Service FAQs

How the Right Commercial Landscaping Partner Makes All the Difference

Commercial Landscaping Company Problems: The Property Maintenance Warning Signs to Watch For

Great commercial landscaping requires more than routine mowing and the occasional seasonal cleanup. Even when the basic services included in a commercial landscaping contract are performed adequately, your property can suffer, and along with it, your residents, clients, budget, and future.

Isolated mistakes can wreak havoc on a landscape, certainly, but the larger and more common problem is underperforming commercial landscaping that causes a cumulative deterioration of your property. Because this accumulation of shortcuts and shortcomings occurs over a prolonged time, it can be easy to overlook.

That’s why evaluating your current commercial landscaping provider is important. Routinely checking in on your landscaping and the work your contractor performs is essential.

Poor Landscaping Service Signs

The beauty of a healthy professional relationship with a commercial landscape service provider is the ability to turn your attention toward your HOA board duties, property management responsibilities, and industrial facility tasks. In other words, it frees your energy and resources to be allocated to other important aspects of your job.

When you find that dynamic no longer exists, you should seriously consider the possibility of changing to a different commercial landscaping company. Some of the most obvious signs of poor landscaping service include continually “chasing” your contractor, fielding the same complaints from residents, uncovering problems on your own, and watching conditions on your property gradually decline.

Do not accept any of these warning signs as normal. It is better to face the problem head-on than allow it to continue unchecked. As your commercial landscape maintenance issues grow, so does your burden.

Landscaping Contractor Red Flags

The common theme of doing your landscaping company’s job for them, noticing lapses in communication, seeing your landscape’s health deteriorate, and more are all big-picture issues. To help make these concepts more practical, we’ve put together a list of common red flags that you should watch for and take seriously when you notice them.

Issues are noticed by residents, tenants, board members, ownership, etc., before the landscaping company.

Inconsistent levels of attention and care given to different areas of the property.

Rapidly deteriorating landscaping between visits from your service provider.

Lapses in communication, including slow response times, vague answers, and the need to repeatedly contact the landscaping company about obvious problems.

A contractor that only cares about or responds to problems after complaints are made.

Uncertainty about what is included in the maintenance contract.

Recurring issues, especially when it comes to the presence of weeds, sick or dying plants, messy mulch beds, declining turf, and unkempt shrubs and trees.

Minor landscaping issues that are allowed to escalate into complex repairs and expensive replacements.

Poor transitions between seasonal shifts, year after year.

The presence of neglected areas, particularly in places that are easily ignored (back lots, fence lines, drainage areas, etc.).

No proactive recommendations for landscaping improvements, including changes to outdated or aging landscaping elements.

Keep in mind that this is not a comprehensive list of bad landscaping company signs. However, it should give you a foundation from which to evaluate your current contractor, identify areas of concern, and take a more critical look at the performance and value they are bringing to your commercial property.

If you want to distill these landscaping contractor red flags into patterns of behavior, it is best to watch out for inconsistency, poor communication, reactive rather than proactive management, unacceptable quality of work, and a lack of accountability.

A company that displays these red flags is typically not worth the investment. They will end up causing more stress and demanding more time, ultimately undermining the very reasons you hired them.

How to Avoid Commercial Landscaping Company Problems

Doing routine evaluations of the work your landscape contractor is performing is key to catching concerning warning signs early and dealing with them promptly. Even the slightest bit of vigilance and familiarity with the common red flags of poor landscaping can save time, frustration, money, and so on.

If possible, it is best to avoid this situation altogether. For that reason, the best thing you can do to set your commercial landscape up for success, protect your time, and preserve your budget is to choose the right landscaping company from the start.

Building a healthy, long-term relationship with your commercial landscaper is much more efficient and beneficial than starting over every time a contractor lets you down. So, take your time evaluating your potential partners, ask the right questions, and know what you’re looking for ahead of time.

Taking the commercial landscaper hiring process seriously sets the stage for a better future. From understanding landscaping contracts and the needs of your unique property to asking the right questions and researching a company’s credibility, the effort you put in at the start will pay off substantially in the years to come.

Poor Commercial Landscaping Service FAQs

Why is a healthy landscaping relationship important for property managers, HOA boards, and commercial facility managers?

Not only does proper landscape maintenance create an idyllic environment for your residents, tenants, clients, employees, and more, but it also alleviates a tremendous amount of stress from your shoulders.

A good commercial landscaping company will care for your property, be proactive when addressing potential problems, suggest upgrades, and keep everything humming along as it should.

In other words, you can trust a quality landscaping contractor to maintain an exceptional property without your constant input, involvement, or attention.

What are the most common landscaping contractor red flags?

There is a long list of specific red flags that you should be aware of when evaluating your landscaping company’s work and ensuring that your property is in good hands.

To keep things as simple as possible, however, the most common issues to look for are bad communication, inconsistent quality of work, small issues that snowball into serious problems, and a gradual decline in the appearance and health of your property.

What should I do if my commercial landscaping company is not performing up to standard?

If you notice repeated issues or patterns of substandard service, you should address them with your landscaping company. If they are not receptive to the feedback or nothing about their performance improves, it is time to find a new commercial landscape maintenance contractor.

As you search for the right fit for your property, be sure to ask thorough questions, examine references, and confirm the services included in the proposed contract. Choosing the right provider is essential, so do not take the process lightly!

How the Right Commercial Landscaping Partner Makes All the Difference

When you find the perfect commercial landscaping company for your property, the difference is immediately apparent. Not only do they emphasize proactive care and provide consistent quality, but they also improve your professional relationship.

The communication is suddenly open, honest, and streamlined. The contents of your contract are clear and easy to understand. Any concerns are addressed promptly and professionally. In other words, your trust and stress levels benefit just as much as your landscape.

Managing HOA properties and commercial campuses comes with a tremendous amount of responsibility. It can, however, be incredibly rewarding, especially when your hard work is appreciated by residents and visitors.

Landscaping is one of the most visible examples of this principle. When it’s beautiful and functional, people notice, but it can quickly deteriorate if not cared for properly. So, when commercial landscape plant health declines, it is more than an inconvenience; it is a significant problem to solve.

Thankfully, commercial property tree care does not have to be a mystery or a shot in the dark. By understanding the common causes of tree decline, you can take proactive steps to protect your plants, preserve your landscape, and enjoy all the benefits of your commercial property as it is meant to be.

What's Inside This Tree & Shrub Guide

The Common Causes of Tree and Shrub Decline

How to Maintain Healthy Trees and Prevent Shrub Decline

Tree and Shrub Health Maintenance FAQs

Working with a Local Professional: The Best Way to Keep Your Commercial Landscape Healthy

Commercial Property Tree Care and Shrub Health Maintenance

Maintaining a healthy, good-looking landscape does more than give your curb appeal a nice boost. A landscape that is functional and thriving can improve people’s experiences, play an integral role in your reputation, promote safety, and conserve your budget.

In other words, preventing the decline of tree and shrub health is a big deal that carries significant and lasting repercussions. Many property managers understand this and strive to maintain a healthy landscape through routine maintenance, only to watch their trees and shrubs continue to suffer, which begs the question, “Why do trees and shrubs decline on commercial properties?”

The Common Causes of Tree and Shrub Decline

It can be frustrating to put time, money, and effort toward commercial landscaping, only for your trees and shrubs to continue to struggle. To help prevent this possibility from becoming reality, it is important to understand what causes plant health to decline in the first place. Then, a plan can be implemented to counteract those causes and maintain healthy, thriving trees and shrubs.

Environmental Stress

The Chicagoland area is not easy on plants. From drastic seasonal shifts to questionable soil conditions, the environmental factors of the region can cause plants stress and contribute to their decline.

While every property is different, and environmental conditions can vary year-to-year, there are a few common challenges that every commercial property manager should consider when caring for their trees and shrubs.

Drought is among the most common and impactful environmental conditions that can lead to plant health decline, even among established trees and shrubs. This remains true even if you are irrigating on a regular basis. If adequate water is not reaching the roots, drought stress can take hold.

Extreme temperatures are often associated with times of drought, but they can exist outside of dry periods. Times of abnormal temperatures, especially if they persist, can also lead to plant stress, causing a notable decline in trees and shrubs.

The final common source of environmental stress is soil compaction. When soil becomes compacted, it prevents water from filtering through and reaching the roots. This not only reduces the water available to trees and shrubs, but limits their ability to access and absorb nutrients. As an additional concern, compacted soil can cause increased runoff and erosion, further damaging your landscape.

External Attacks

When environmental stress is present, trees and shrubs become more susceptible to external attacks from diseases and pests. While not always immediately apparent, the presence of insects, fungal infections, or other external aggressors can quickly lead to tree and shrub decline on a commercial property.

Often, diseases and pests are not the initial cause of plant stress and decline, but an additional factor that causes the health struggles to accelerate. They go hand-in-hand with weakened trees and shrubs, making matters worse.

Improper Maintenance

Improper planting is a common cause of tree decline, so if you notice a young tree struggling, this factor should be considered. However, even established plants can experience decline related to mistakes in care and maintenance.

This comes as a surprise to many commercial property managers who have consistently invested in routine maintenance in an effort to keep their properties aesthetic, clean, healthy, and safe.

How to Maintain Healthy Trees and Prevent Shrub Decline

As a property manager, it is difficult (if not impossible) to be as hands-on with every property as you might like. When word reaches you regarding dead or compromised plants, it likely arrives in the form of a resident complaint or obvious landscape issue, such as a tree that is in need of serious intervention or replacement.

If you notice this cycle repeating, as well as the expense that accompanies it, there are steps you can take to proactively address the underlying issues and provide your plants with a healthier future.

Identify Potential Problems Early

Regular property evaluations by a professional not only help maintain a well-groomed landscape, but also contribute to early detection of potential problems before they develop into serious (and expensive) issues.

The earlier issues are identified and diagnosed, the more effectively they can be treated. This prompt approach to dealing with threats to the health of your trees and shrubs also limits the amount of stress they are exposed to, helping them bounce back quickly.

Invest in the Care Your Landscape Needs

Whether it’s simple preventative maintenance, upgrading your irrigation system, or working with a professional to provide specialized care that benefits your specific plants, investing in the care your unique landscape requires is one of the best ways to prevent shrubs and trees from declining and dying.

This is especially true if you do not currently work with a professional landscaper to routinely care for your property. However, even if your landscape is maintained on a regular basis, you may need to go beyond the basics to ensure that your trees and shrubs are healthy and thriving.

Some property managers face the upfront cost of better landscape care and hesitate to make the investment, but the truth is that proactive care tends to save money in the long run. Fewer emergency interventions, a reduced plant replacement rate, more efficient use of resources, and a myriad of other benefits all add up to budgetary savings.

Adapt to Environmental Factors

As the seasons change and years go by, different challenges may arise. From years of drought to soil that lacks the right nutrients, environmental factors can throw you a number of curveballs that could lead to tree and shrub decline on your commercial property.

Because the situation is always shifting, it is important to remain flexible in your approach to landscaping. The basics may stay consistent, but rigid adherence to a maintenance plan can actually harm your plants. Adapt to environmental factors as they occur to best preserve your trees and shrubs.

Tree and Shrub Health Maintenance FAQs

Why are trees dying on my commercial property?

The common causes of tree decline range from environmental stress and external factors, such as pests, to improper maintenance. It is best to work with a professional to diagnose the underlying issue and develop a plan to repair the damage and proactively protect your trees in the future.

Why are shrubs declining even though they're maintained?

Basic maintenance is not always enough to keep shrubs healthy. Preexisting plant stress can continue to cause deteriorating health, environmental factors can harm shrubs, and more specialized care might be necessary.

How do you keep commercial landscaping healthy?

Professional landscape maintenance is the most important factor in maintaining healthy trees and shrubs. It is always better to be preemptive and proactive rather than reactive.

Adapt to environmental factors, institute a comprehensive maintenance plan specifically designed for your commercial property, and address potential problems before they have the opportunity to develop and snowball.

When does a declining tree or shrub need professional attention?

If your property’s appearance begins to suffer, residents are unhappy, safety is compromised, or there is a pattern of tree and shrub decline, you should immediately seek the help of a local landscaping professional. However, it is always better to work with an experienced landscaping company from the start in order to prevent problems from developing in the first place.

Working With a Local Professional: The Best Way to Keep Your Commercial Landscape Healthy

Maintaining a commercial landscape that looks great, functions as intended, and keeps residents and visitors safe is a top priority for any property manager. In the Chicago area, the best way to accomplish these goals while embracing efficiency and conserving your budget is to partner with a local landscaping professional.

Equipped with regional experience and expertise, a local landscaper can provide exceptional commercial tree and shrub care services in Chicagoland. From climate factors to insect infestations, they have the knowledge necessary to pinpoint the problem and correct it before it becomes a big, expensive problem.

Picture the idyllic residential community in the Chicago area. While your dream neighborhood might look different from someone else’s, there is undoubtedly some overlap: happy families, beautiful homes, and bright, welcoming landscaping.

Community landscape design in Chicago sets the tone for residents and visitors alike. It establishes a standard, improves curb appeal, and plays a vital role in the functionality and safety of the neighborhood.

For HOA board members and property managers, implementing landscaping enhancements is a top priority with a myriad of benefits. The question is not whether or not landscaping improvements could be useful; it is determining which Chicago HOA landscaping ideas are the best for your community.

What's Inside This Landscape Enhancement Guide

The Best Landscaping for HOA Communities

FAQs About Community Landscape Design in Chicago

Working with a Local Company: The Ultimate Chicago HOA Landscaping Idea

HOA Landscape Enhancements for Chicagoland Communities

The opportunities to improve community landscape design in Chicago are practically endless, but they should be intentional and work toward a defined goal for your neighborhood. Rather than incorporating landscaping improvements at random, it is best to have a plan in place and invest strategically.

Because HOA landscaping is an investment, it is essential to understand the benefits your investment will create. Not only does this return on your investment make the budget feel more reasonable, but it can also inform your decision-making.

The most notable benefits of thoughtful HOA landscape enhancements in Chicagoland include:

Better curb appeal, which attracts visitors, motivates potential buyers, and provides homeowners with a warm welcome.

Improved safety. Keeping a tidy landscape that is well lit and free of debris and dangerous limbs helps create a safe, secure environment for families and visitors.

Increased property values by boosting the community’s reputation, preserving valuable resources through proper maintenance, and making the neighborhood more desirable.

Budget benefits, including conserving resources and avoiding serious landscaping problems.

Enhanced community experience via more functional common areas, improved access to the outdoors, and a greater sense of pride in the neighborhood.

The Best Landscaping for HOA Communities

To help inform your decisions, it is often advantageous to work with a local landscaping professional who can evaluate your property, account for your goals, consider your budget, and develop a strategy that best benefits your HOA community.

That being said, the following Chicago HOA landscaping ideas can act as a firm foundation on which you can build a property that benefits the community, your residents, the budget, and beyond.

Commit to Regular Maintenance

It may not be exciting or flashy, but routine maintenance is perhaps the most impactful way to improve your HOA community landscaping. While your property may benefit from more specialized maintenance than a simple “mow, blow, and go” technique, the basics really are the basis for consistent curb appeal, functional common areas, and an HOA community that sets itself apart from the rest.

Work with a local landscaping company to determine the exact services your property needs to thrive, establish the best schedule for your community and budget, and set your landscaping up for both immediate and long-term beauty and health.

Shift with the Seasons

The seasons in the Chicago area create unique opportunities to highlight your HOA community landscaping. While certain steps can be taken to keep your property looking fantastic year-round, leaning into seasonal shifts can elevate it to the next level.

From vibrant blooms in the summer to festive displays around the holidays, embracing seasonal installations is one of the best HOA landscape enhancements for Chicagoland communities.

Invest in Efficient Irrigation

HOA curb appeal improvements that also benefit your budget are the ultimate win-win. Investing in an efficient irrigation system can come with a hefty initial price tag, but it is well worth it in the long run.

Proper irrigation is often the difference between a landscape that looks pristine and one that suffers from unsightly brown patches and inconsistencies. Keeping your plants healthy by providing them with proper hydration not only improves the appearance of your property, but also reduces the possibility of them requiring significant intervention or replacement.

The betterment of your plants and your curb appeal is not the only benefit of efficient irrigation. A quality system that is designed and installed by a professional can also reduce your water usage, allowing you to experience the aesthetic and maintenance benefits of great irrigation while simultaneously reducing your water usage.

In short, an efficient irrigation system improves the appearance and health of your landscape while conserving water and reducing your utility bill.

Keep it Clean

The degree to which cleanliness signals beauty, desirability, professionalism, and safety cannot be overstated. From tidying up after a storm to keeping walkways clean, emphasizing regular cleanups is a simple and effective Chicago HOA landscaping idea that can elevate your property.

In addition to removing debris as part of regular maintenance, implementing seasonal cleanups is a must. Spring cleanups help prepare your landscape for growth and vibrance, while fall cleanups help manage fallen leaves and protect your plants through winter.

Focus on Function

It is easy to appreciate the aesthetic improvements that accompany the best landscaping improvements for HOA communities. The visual appeal of entrances, common areas, and individual homes creates an atmosphere that draws your attention and looks fantastic.

Equally as important, however, is the functionality of your HOA landscaping. Walkways should be clear and safe, lighting should be thoughtful, entrances should be well-marked, and shared spaces should be clean and inviting.

The more functional your HOA landscaping is, the more attractive it is to potential buyers, the more your residents will utilize common areas, and the safer the property will be.

Whether you’re managing a warehouse or voting as part of an HOA board, recognizing the importance of professional landscaping is not difficult.

Whether you’re managing a warehouse or voting as part of an HOA board, recognizing the importance of professional landscaping is not difficult.

From curb appeal and increased property values to resident, employee, or visitor experiences, landscaping plays a significant role in the appearance, functionality, persona, and resilience of your property.

In other words, Chicagoland commercial landscaping can make or break your property, regardless of whether it’s a luxury high-rise or an industrial hub. Investing in it can make a meaningful difference, both to the people who frequent your property and to the land itself.

The question isn’t whether professional landscaping is worth the investment; it’s what commercial landscaping services cost. As you weigh your options and compare proposals, it is essential to have a baseline understanding of commercial lawn care rates, how to differentiate between different offers, and red flags to consider.

Read on to learn more about commercial landscape pricing, the factors that can influence it, and how you can make an informed decision for the good of your Chicagoland property.

What's Inside This Commercial Landscape Service Guide

Factors that Determine Commercial Lawn Care Rates

Why Chicagoland Commercial Landscaping is Worth the Investment

Commercial Landscaping Pricing Red Flags

Commercial Landscape Maintenance Cost FAQs

Partnering with a Local Commercial Landscaping Professional

Chicagoland Commercial Landscaping Costs

Before we dive into the details and nuances of commercial landscape maintenance costs, we want to share a spoiler alert: the landscaping service costs in Chicago can vary wildly.

For standard maintenance, you may pay $10,000 or less annually. However, that number can skyrocket depending on a number of factors (which we will discuss), sometimes reaching upwards of $50,000.

So, while we have no desire to bury the lead, the simple answer to the question of “how much do commercial landscaping services cost” is “it depends.”

Factors that Determine Commercial Lawn Care Rates

There are a myriad of considerations that help determine the cost of your Chicagoland commercial landscaping services. The best way to understand a professional landscaper’s proposal is to ask them to break down the costs and services for you with honesty and transparency.

Additionally, having foundational knowledge of the most common commercial lawn care rate factors is imperative. While we cannot cover every factor here, the most common and impactful ones are as follows.

The Size of Your Property

It may seem obvious, but one of the biggest factors in determining the cost of commercial landscaping is the size of your property. The larger the landscape, the more expensive you can expect the services to be.

This comes down to simple math: more surface area means more resources, more time, more labor, and so on. If your commercial property is expansive, you can expect it to be expensive.

The Scope of Your Services

Different properties require different landscape maintenance services. An HOA community may have a wide variety of distinct areas, including seasonal installations and common areas, while a warehouse may be more focused on functionality and safe walkways.

The nuances of your specific property, such as the soil type and terrain, can also influence the services required to keep your property beautiful and functional. So, too, can the frequency at which the services are provided. Even personal preferences are a factor!

In other words, no two properties are identical, and the scope of Chicagoland commercial landscaping can dramatically affect your costs. To put this principle into perspective, consider the following landscaping services and how they may apply to your property.

Snow removal

Tree trimming

Fertilization

Irrigation system maintenance

Mulching

Seasonal installations

Pest and weed control

Landscape and Plant Factors

The complexity of your landscaping plays a role in the cost of commercial landscaping services. Sloped terrain, sensitive flower beds, multiple zones, exotic plants, and more can all drive up the price because they demand more attention, resources, and time.

The opposite is also true: if you have a relatively flat, simple landscape, your commercial landscaping prices will undoubtedly reflect that fact.

Emergency Services and One-Off Projects

The majority of your commercial landscape maintenance cost is tied to exactly that: predictable maintenance. However, you should always budget for the unexpected and unusual. Whether you plan to make some landscaping additions in the coming year or are simply preparing for a rainy day, projects that occur outside of the norm can drive up your costs.

It’s important to discuss these possibilities with commercial landscaping companies before committing to them. Ask about their emergency services policies. How quickly can they send a technician if your sprinkler system breaks? Do they charge extra for such scenarios?

The commercial landscaping services you account for can rapidly rise, especially if you do not have a plan in place before the unexpected unfolds.

Cost of Labor and Materials

While certain aspects of your commercial property, unique needs, and personal preferences can shape the amount and type of labor and materials required to service your landscape, the price of these things can fluctuate on their own.

The costs of various materials can rise and fall, driving your commercial landscaping pricing up or down. The same is true of labor. Market demands, specialization, availability, and more can all affect the amount of money required to pay good workers. As those expenses increase, you can expect your commercial lawn care rates to increase, as well.

Why Chicagoland Commercial Landscaping is Worth the Investment

Your decision to work with a commercial landscaping company in the Chicago area is not a small commitment. Depending on the factors above, it could consume a noticeable amount of your budget, meaning that the benefits have to outweigh the costs.

Thankfully, proper Chicagoland commercial landscaping pays for itself many times over. There are distinct, impactful advantages to prioritizing these services, especially when the professional you partner with provides exceptional results.

First impressions and on-site experiences. Attractive landscaping improves your commercial landscape’s curb appeal, reinforces your professional image, and sets a positive tone for visitors, employees, and residents alike. The result is better morale, a great brand image, and the appearance of professionalism.

Property value. Thoughtful landscaping that is both beautiful and functional can give your commercial property value a healthy boost. It demonstrates intentionality, attention to detail, and a commitment to maintenance.

Improved safety. Commercial landscaping must make safety a priority. This means keeping roadways and walkways clear, preemptively addressing areas of concern, and promoting a safe environment for everyone who visits the property.

Cost savings. While commercial landscaping services cost a pretty penny, they can actually save money in the long run. By designing and maintaining intentional landscapes, investing in efficient systems, and caring for issues before they worsen, commercial landscaping can reduce plant turnover, avoid expensive accidents, and catch problems before they develop. All of this helps save money on utility bills, unnecessary landscaping expenses, and more.

Commercial Landscaping Pricing Red Flags

As you search for the perfect Chicagoland commercial landscaping company for your property, remaining grounded and maintaining a critical eye can help you weigh your options and avoid those who may be a bad fit.

Part of this process includes identifying commercial landscaping pricing red flags and avoiding those companies. In a competitive market where your decision plays a significant role in the success of your landscape, the appearance of your property, and the happiness of the people who visit it, certain warning signs cannot be ignored.

Hesitation to provide a clear budget.

No clarity of service scope.

Lack of accountability.

Confusing pricing structures.

Lack of a portfolio and references.

Pricing that’s too good to be true.

Poor communication.

Commercial Landscape Maintenance Cost FAQs

How Much Do Commercial Landscaping Services Cost?

The exact cost of commercial landscaping maintenance can vary dramatically, with some smaller properties budgeting only a few thousand dollars a year, and larger, more complex properties spending tens of thousands. The variables that affect your commercial lawn care rates could include a variety of factors.

What are the biggest factors in determining commercial landscape maintenance costs?

The nuances of your exact property will heavily influence the commercial landscaping pricing you should expect. That being said, the most common factors are the size of your property, the scope of your required services, the cost of labor and materials, and the plants and special features that populate the landscape.

Why is Chicagoland commercial landscaping worth the investment?

The benefits of investing in quality commercial landscaping are numerous, ranging from long-term cost savings to safety for residents, employees, and visitors. Whether you are trying to maximize your property value, project a professional image, protect the environment, or streamline functionality, commercial landscaping can help.

What warning signs should I take seriously when choosing a commercial landscaping company?

Most commercial landscaping red flags can be distilled to two principles: poor communication and lack of transparency. A commercial landscaping company that is unclear about their pricing structures, scope of services, history in the area, and standard operating procedures should be avoided.

Partnering with a Local Commercial Landscaping Professional

Working with a Chicagoland commercial landscaping company should be more than a sterile professional arrangement; it should be a partnership and a relationship. Fair pricing, clear communication, accountability, and trust should all be built into the foundation of your partnership.

At Alan Horticulture, we have been perfecting landscapes and solidifying partnerships for decades.
What's Included in an HOA Landscaping Contract in Chicagoland?

If you manage an HOA board, you know that hiring a landscaping company is about more than finding someone to mow the grass regularly.

If you manage an HOA board, you know that hiring a landscaping company is about more than finding someone to mow the grass regularly.

To properly run an HOA community, the landscape team you partner with needs a clear understanding of what their duties and responsibilities are – not just a checklist to follow every two weeks when they visit.

What makes the difference? A well-written HOA landscaping contract that both parties agree to and adhere to.

This type of contract should make it crystal clear what services the community is receiving, how often those services will be performed, what is included in the price, and which services may cost extra.

Being that specific – and that clear – from the start matters.

If you’ve ever tried comparing landscaping proposals, you know that two (or even three) companies can appear to offer similar services – but somehow, they all actually provide very different levels of care.

One proposal may include seasonal color, bed maintenance, and detailed plant health care. The other may charge separately for some (or all) of those services.

Understanding what's typically included in an HOA landscape maintenance contract makes it easier to compare proposals fairly, and helps boards avoid costly surprises that could pop up later on.

For communities in Chicagoland, there's another important consideration to keep on the table: landscaping needs change dramatically throughout the year with the seasons.

A contract should account for the seasonal nature of local landscapes, from spring cleanup and summer maintenance to fall preparation and winter-related concerns.

If you’re wondering what HOA boards and property managers should look for in a landscaping contract, you’re in the right place.

What Exactly Is an HOA Landscaping Contract?

An HOA landscaping contract is a binding agreement between a homeowners association (HOA) and a landscaping company that clearly articulates the ongoing, consistent services the company will provide for the community – including an outline of their duties, communication requirements, and expected frequency.

The exact scope, of course, varies depending on the property and the needs of that community.

For example, a small townhome community may need basic turf and landscape bed maintenance regularly, while a larger Chicagoland HOA may have multiple entrances, common areas, trees, irrigation systems, detention areas, playgrounds, walking paths, and extensive turf.

A good contract should account for those differences and never have blanket statements or just be a general template.

At a minimum, the agreement should make it easy to answer questions like these:

What areas of the property are included?

Which services will be performed?

How frequently will crews visit?

What seasonal services are included?

Are plant health care services included?

Who handles irrigation?

Are landscape enhancements included or billed separately?

What happens when weather affects the maintenance schedule?

How are additional services approved?

Who should the HOA contact with questions or concerns?

The more clearly these details are defined, the less room there is for confusion and the more complete your contract is.

What's Typically Included in an HOA Landscaping Contract?

It’s important to acknowledge that because every property is different, every contract will be different, too. Still, most Chicagoland HOA landscaping services involve several core categories and cover some of the basics.

Turf and Lawn Maintenance

For many communities, turf maintenance represents a significant portion of the recurring landscaping scope and requires the most consistent care.

Depending on the contract, lawn services could include things like:

Regular mowing

String trimming around landscape features

Edging along sidewalks and curbs

Blowing grass clippings from hard surfaces

Weed control

Fertilization

Turf treatments

Seasonal lawn care

Monitoring for turf problems

The most important thing about turf maintenance is to make sure you look beyond the word mowing and inquire about what this really means.

Two proposals may both say they include lawn maintenance, but one may include fertilization and weed control while the other doesn't. The contract should always spell out the actual scope and make sure nothing is left ambiguous.

Landscape Bed Maintenance

Landscape beds can quickly make what would have been an attractive HOA seem neglected if they're not maintained properly and consistently.

It’s not a hard-and-fast rule, but typical bed maintenance may include:

Weed removal

Cultivation

Edging

Debris removal

Pruning of appropriate plant material

Mulch maintenance

Monitoring for declining plants

General bed cleanup

For HOA boards, it's also important to ask how often these services are performed.

A contract that just says "bed maintenance" doesn't tell you whether the beds are being serviced weekly, monthly, seasonally, or only when needed. Clear expectations of the type of care and frequency are important

Shrub and Tree Care

Trees and shrubs are long-term investments in a community's landscape – that means they require ongoing attention from your landscaping partner.

An HOA landscape maintenance contract may include routine shrub pruning and basic tree care, but the exact scope can vary considerably.

Boards should determine and solidify whether the contract addresses:

Shrub pruning

Ornamental tree pruning

Tree inspections

Removal of dead or hazardous branches

Plant health monitoring

Seasonal pruning

Storm-related cleanup

Tree removal

Stump removal

As a note, major tree work is usually handled separately from routine maintenance, particularly when specialized equipment or certified arborist services are required. This isn’t always the case, but it’s definitely something to clearly identify in the contract so both parties know what’s expected.

Seasonal Cleanup

Seasonal work is of particular importance here in Chicagoland because (as you know) the landscape changes quite significantly throughout the year.

A strong HOA landscaping contract should identify what happens during each major season and provide you with a clear schedule for each.

Spring: Spring cleanup may include removing winter debris, cutting back appropriate perennial material, cleaning beds, and preparing the landscape for the growing season.

Summer: Maintenance shifts toward regular mowing, pruning, weed control, plant health, irrigation monitoring, and keeping common areas looking their best during peak use.

Fall: Leaf removal, seasonal pruning, bed cleanup, and preparing plants and turf for winter may become priorities.

Winter: Depending on the agreement, winter services may involve monitoring or addressing specific landscape concerns, while snow and ice management may be covered under a separate contract.

Because Chicagoland weather can be unpredictable (depending on the winter, that could be an understatement), boards should ask how weather-related delays or unusually heavy seasonal conditions are handled.

Plant Health Care

Plant health care is another area where HOA landscaping contracts can widely differ.

Basic landscape maintenance keeps plants looking neat while plant health care focuses on helping plants stay healthy – and identifying problems before they become larger issues.

Depending on your particular plant health scope, this may include monitoring for:

Insect activity

Plant diseases

Nutrient deficiencies

Environmental stress

Declining shrubs or trees

Turf diseases

Other signs of plant health problems

Boards should ask whether plant health care is part of the regular contract or an additional service. If treatments are recommended by your landscape partner, the contract or service process should also explain how the HOA is notified and how additional work is approved.

Irrigation Services

This is a major point of contention in contracts. If an HOA has an irrigation system, irrigation should be addressed clearly in the landscaping agreement.

Possible services that migh be included could be things like:

Seasonal system startup

Irrigation inspections

Adjusting sprinkler heads

Programming controllers

Monitoring irrigation performance

Identifying leaks or damaged components

Seasonal shutdown

That being said, irrigation maintenance does not necessarily mean irrigation repairs are included in your contract. Replacement heads, valves, controllers, wiring, and other parts may be billed separately.

This is a great example of why boards should look closely at the details of an HOA landscape maintenance contract and communicate clearly with their proposed partners to make sure they fully understand it.

Seasonal Plantings and Enhancements

Seasonal flowers and landscape enhancements can have a huge impact on curb appeal, particularly around HOA entrances and community gathering spaces (which matters from an aesthetic and functional standpoint).

It’s important to remember that these kinds of services are not automatically included in every maintenance contract.

If your contract includes seasonal planting language, make sure you ask whether the proposal includes:

Annual flowers

Seasonal color rotations

Bulb planting

Decorative containers

Mulch installation

New shrubs or perennials

Plant replacements

Bed renovations

Landscape design

Other enhancement projects

These items are often treated as additional landscape improvements rather than recurring maintenance. While that’s perfectly normal, it matters whether or not you know the difference before the contract is signed.

Communication and Property Management

One of the most overlooked parts of a landscaping contract has almost nothing to do with the specific services being provided. Communication is a huge gap for many clients and landscaping partners.

As an HOA board member or property manager, you know how crucial this component is.

Your chosen landscaping company should have a clear process for reporting concerns, making recommendations, handling service requests, and communicating about larger landscape issues.

A strong partnership should include communication elements like:

A designated point of contact

Routine property inspections

Service updates

Recommendations for landscape improvements

Documentation of significant issues

Clear approval processes for additional work

Regular communication with the property manager or board

Having these things (or some of them, anyway) becomes particularly valuable when the landscape needs something beyond routine maintenance or when your board has questions about scope.

What Might Not Be Included in an HOA Landscaping Contract?

Just as many contracts have differing included services, they also all exclude different offers, too. Importantly, this is where HOA boards can run into trouble when comparing proposals.

Certain services are frequently handled separately from routine maintenance.

These could include service and add-ons like:

Major tree removal

Large-scale tree pruning

Stump grinding

Irrigation repairs or replacement

New landscape installation

Major bed renovations

Significant drainage improvements

Storm cleanup

Replacement of extensive areas of turf

Large-scale plant replacement

Landscape design

Seasonal enhancements

Snow and ice management

These services aren't necessarily supposed to be included in the base contract, but the important question is whether or not the contract makes that clear because a proposal that appears less expensive may simply have a narrower scope.

A Guide on How to Compare HOA Landscaping Proposals

If your board is reviewing multiple landscaping companies, the best advice we can give you is to not just look at the bottom-line price alone. We all like to save a dollar where we can – especially when it comes to the scope of your HOA community – but having a better, more complete scope of service is more important.

If you have multiple contracts and proposals to consider and aren’t sure how to choose your commercial landscape partner, start by putting each proposal side by side and looking at these elements for comparison:

Service Frequency

How often will crews visit? Are certain services performed weekly, biweekly, monthly, or seasonally?

Area Coverage

Does the contract cover the entire property, or are certain entrances, common areas, drainage areas, or outlying sections excluded?

Seasonal Services

Does the contract include spring and fall cleanups? What happens during the growing season? How are seasonal conditions addressed?

Plant and Turf Care

Are fertilization, weed control, pruning, and plant health services included? What does “turf care” mean beyond mowing regularly?

Irrigation

Is irrigation inspection included? What happens when repairs are needed? Will the scope cover any repairs to existing irrigation systems or are you required to change your system to work with this provider?

Communication

Who does the HOA contact when there is an issue? Does the landscaping company conduct regular property inspections? Is there a specific point of contact you can rely on and build a relationship with?

Additional Charges and Extra Services

Which services are included in the base price, and which require separate approval? Are you entitled to a discount for additional services because of your existing contract?

HOA Landscaping Contract FAQs

What is included in an HOA landscaping contract?

It completely depends on your property, needs, goals, and the provider themselves. Most HOA landscaping contracts include recurring services such as lawn mowing, trimming, edging, landscape bed maintenance, pruning, weed control, and seasonal cleanup. The exact scope varies by property, so boards should review the contract carefully to understand what is included.

How much does HOA landscaping cost in Chicagoland?

The cost of HOA landscaping varies based on property size, acreage, number of homes or common areas, landscape complexity, service frequency, plant material, irrigation, and the services included in the contract. Remember, it’s not just about the price – it’s about the scope of service, quality of partnership, and commitment to communication.

Does an HOA landscaping contract include tree removal?

Again, it totally depends – but usually, not necessarily. Routine pruning or basic tree care may be included, but major tree removal, stump grinding, or specialized tree work is often priced separately. The contract should clearly identify what’s included.

Is snow removal included in an HOA landscaping contract?

Not always, but in Chicagoland, this should be a major consideration. Snow and ice management may be included in a broader property services agreement or handled through a separate contract. HOA boards should confirm exactly what winter services are included.

Can an HOA change its landscaping contract after signing?

Contract changes depend on the terms of the agreement. If additional services or landscape improvements are needed, the landscaping company and HOA can typically discuss the proposed work, pricing, and approval process. The original contract (one worth its salt, especially) should explain how changes and additional services are handled.

A Clear Contract Means a Better Landscaping Partnership – We Can Help With That

An HOA landscaping contract should establish price, scope, and, importantly, expectations.

For HOA boards or property managers, that means knowing exactly what association funds are paying for and having a clear understanding of what happens when the property needs something outside the routine maintenance scope.

We believe Chicagoland communities benefit from a proactive approach to landscape management. That means understanding a property's needs, communicating clearly about the work being performed, and helping boards and property managers identify the best opportunities to protect and improve their landscape investment.

Signs Your Commercial or HOA Landscape Needs an Upgrade (Not More Maintenance)

You have your maintenance crew on-site every week – and still, somehow, you find that your commercial property or HOA landscape never quite packs the punch you’re looking for.

You have your maintenance crew on-site every week – and still, somehow, you find that your commercial property or HOA landscape never quite packs the punch you’re looking for.

If this is a recurring issue or feeling, it’s possible you’re not dealing with a maintenance issue at all.

Sometimes, there comes a point where the landscape itself has simply reached the point where maintenance can only do so much.

And that problem is especially common here in Chicagoland, where our landscapes have to withstand winter snow and ice, salt exposure, spring rain, summer heat, and the freeze-and-thaw cycles. All of that can take a serious toll on plants, turf, beds, and hardscapes.

That means over time, even a well-maintained property can begin to look tired, dull, or even outdated.

The important thing for property managers, HOA boards, and facility managers to recognize is that landscape maintenance and landscape improvements serve different purposes.

You need both – but sometimes, you need an improvement in place of maintenance to make the biggest change.

Maintenance keeps an existing landscape healthy, happy, and presentable. Enhancements address areas that are aging, declining, inefficient, or simply no longer meeting the property's needs. In other words, if they lack pizzazz, it’s possible that maintenance isn’t going to bring that back.

How do you know when it’s time to make that change? This blog shares all the insights and details.

Routine Maintenance vs. Landscape Renovation: What's the Difference?

Before determining whether your property needs an upgrade, it helps to understand what maintenance can, and importantly can't, accomplish for your property.

Routine landscape maintenance is all about caring for the landscape you already have in place – typically, this happens on an agreed-upon, seasonal schedule.

Depending on the property, season, and what’s spelled out in your landscape contract that can include mowing, pruning, weeding, fertilization, irrigation management, plant health care, seasonal cleanups, and other recurring services. All of these services are necessary and important, but they’re not the end-all-be-all.

Landscape renovation or enhancement, on the flip side, goes a step further. It involves changing or improving the landscape itself through projects such as:

Replacing declining shrubs or trees

Renovating overgrown landscape beds

Updating outdated plantings

Improving property entrances

Installing new perennial or seasonal plantings

Reworking areas with persistent drainage or irrigation issues

Adding or replacing mulch, stone, or other landscape materials

Improving the overall layout and functionality of a landscape

Neither approach is inherently better than the other, and truthfully they’re best when they go hand-in-hand.

The goal is to avoid spending year after year (and excess funds) maintaining a landscape that is fundamentally no longer working and needs an upgrade more than anything.

7 Signs Your Commercial or HOA Landscape Needs an Upgrade

The Same Problems Keep Rearing Their Heads

One of the clearest commercial landscape upgrade signs is frequency and repetition.

Let’s say a bed gets weeded, but it quickly becomes overgrown again. Shrubs are repeatedly pruned because they've outgrown their space. Turf is repaired in the same locations every spring. Plants are replaced one at a time, but they continue to struggle the following year.

When your maintenance team is repeatedly treating the symptoms without solving the underlying issue, it's worth stepping back and asking: Why does this keep happening?

The answer could be a variety of things – poor plant selection, an outdated landscape design, compacted soil, drainage problems, insufficient sunlight, irrigation issues. It’s even possible that your plant material has reached the end of its useful life.

At that point, an enhancement could be more cost-effective than continuing to patch the same problem that’s never really getting resolved.

Your Plant Material Is Aging or Declining

Even though it’s not something people talk about much, plants don't live forever even if they’re happy and healthy.

Even the shrubs and trees that are thriving eventually become overgrown, diseased, damaged, or simply too large for the space where they were originally planted.

If this is happening to your landscape, you might notice things like:

Large gaps where plants have died

Shrubs that require constant pruning

Plants that are consistently stressed

Uneven growth throughout a planting bed

Outdated foundation plantings

Trees or shrubs that are interfering with walkways, buildings, or sightlines

That doesn't necessarily mean the entire landscape needs to be dug up and replaced, but it does mean that you could benefit from strategically replacing declining plant material.

This is one of the easiest ways to make an older property look significantly fresher without requiring a complete and total renovation.

Your Entrance No Longer Has Zest

For commercial properties, an entrance is a big deal – it’s often one of the first things tenants, customers, employees, and visitors see. For an HOA, it's one of the first things prospective residents and homeowners see. No matter who we’re talking about, that first impression matters a lot.

If the entry landscape looks dated, sparse, overgrown, or neglected, it can affect the way people perceive the entire property. This is an area where a relatively focused landscape improvement can make a noticeable difference.

Refreshing an entrance bed, updating plant material, improving seasonal color, or creating a more intentional planting design can give the property a stronger first impression without requiring a property-wide renovation.

Maintenance Costs Keep Rising, But You Don’t See Better Results

This is one of the most important signs for property managers and HOA boards to watch.

If you're spending more money on maintenance but the landscape continues to decline, the answer may not be more maintenance.

Consider an area where crews repeatedly have to prune overgrown shrubs, replace dead plants, control weeds, repair turf, or address irrigation problems.

Those individual services may be necessary, but collectively, they can become an expensive cycle. A strategic renovation can sometimes shift the property from reactive spending toward a landscape that is easier and more efficient to maintain.

The Original Landscape Design No Longer Fits the Property’s Function

Landscape is evolving all the time. (It’s living, after all). More than that, the function of the property that the landscape surrounds evolves, too.

A commercial building may have new tenants or an HOA may have new community amenities – small changes can impact how property is used over the course of 5, 10, or 15 years.

If plants obstruct visibility, crowd walkways, create maintenance challenges, or no longer complement the architecture, it may be time to rethink the design of that landscape.

A landscape enhancement could be all about bringing an older design into alignment with the property's current needs.

Winter Has Taken a Toll

Chicagoland landscapes have to work hard to make it through several cycles of winter. Think about all the elements that go hand-in-hand with this season – snow, ice, road salt, fluctuating temperatures, and repeated freeze-and-thaw cycles.

All of that can contribute to landscape damage over time.

By spring, the effects, like damaged turf and stressed shrubs, may be obvious. And while routine maintenance can address some of those issues, if a landscape is enduring repeated winter damage, a more permanent solution might be needed,

That could mean replacing vulnerable plant material, rethinking a planting bed, addressing drainage, or evaluating how salt and snow are affecting the area and making calculated changes.

Residents, Tenants, or Ownership Are Taking Notice

And not in a positive way. Often, the clearest sign that an HOA or commercial property needs a landscape improvement is simply that people are talking about it.

Maybe residents keep asking why the entrance looks dated, or tenants have commented on declining curb appeal.

That kind of attention shouldn't necessarily be viewed as complaints about your maintenance provider; instead, they might be pointing to a bigger opportunity.

When the same concern keeps coming up, bring it to your landscaping partner and ask whether the area needs better maintenance or an upgrade that could improve it altogether.

Chicagoland Landscapes Require More Than a Regular Maintenance Routine

Just like anywhere else, landscapes in Chicago aren’t a set-it-and-forget-it investment.

The landscape has to transition through dramatically different seasons and needs year-round attention. That means property managers shouldn't only evaluate their landscapes based on how they look in July – they need someone to examine and evaluate the full picture over the course of the year and years to come.

Examining patterns and answering questions like these is crucial:

How did the landscape come through winter?

Which areas struggle every spring?

Where does irrigation perform poorly?

Which beds look noticeably dated?

Which areas receive frequent complaints?

These patterns can reveal where an investment in landscape improvements will have the greatest impact.

Phased Renovation Can Make a Huge Difference

One of the biggest misconceptions about landscape renovation is that you have to tackle the entire property at once. The good news is that’s rarely true.

Many commercial properties and HOAs opt for phased improvements, which usually make much more sense.

We always suggest starting with the areas that have the greatest combination of visibility, maintenance demands, and deterioration.

That could look like:

Phase 1: Refresh the main entrance and most visible landscape beds.

Phase 2: Replace aging plant material throughout common areas.

Phase 3: Address irrigation, drainage, or other infrastructure-related concerns.

Phase 4: Continue improving secondary areas as the budget allows.

Obviously, that example is hypothetical. What we suggest for your property’s phased renovation will depend entirely on your goals, obstacles, budget, and needs.

A phased approach allows property managers and HOA boards to spread capital improvements over time while still making meaningful progress (and not having to break the bank for everything at once).

Commercial & HOA Landscape Upgrade FAQs

How do I know if my HOA grounds need renovation?

It’s all in the repeat issues and dated areas. Look for recurring bare areas, aging or overgrown plants, outdated entrance landscaping, repeated turf or irrigation problems, and areas that consistently generate resident complaints. Importantly, if maintenance is keeping the landscape functional but not truly improving its appearance, renovation may be worth considering. Curious how to choose an HOA landscape partner? We’ve got information readily available to assist!

Is landscape renovation more expensive than maintenance?

That’s hard to say without knowing the situation or context. Renovation requires an upfront investment while maintenance is an ongoing expense. That said, continuing to invest heavily in maintaining an inefficient or declining landscape can also become expensive over time – possibly more expensive than the upgrade would have been.

Can landscape improvements be completed in phases?

Surely. Phased improvements are often a practical approach for commercial properties and HOA communities. This works well for budget planning, seasonal challenges, and tenant convenience.

What is the difference between landscape maintenance and renovation?

Maintenance cares for the existing landscape through recurring services such as mowing, pruning, weeding, and seasonal care. Renovation changes or improves the landscape itself through plant replacement, bed renovations, design updates, irrigation improvements, and other enhancement projects.

Does Your Landscape Need More Than Maintenance? We Can Help

Instead of continuing to spend maintenance dollars addressing the same recurring problems, property managers, facility managers, and HOA boards can work with their landscaping partner to identify where targeted improvements will have the greatest long-term impact.

It’s our job to help Chicagoland commercial properties and communities take a proactive approach to landscape management. At Alan Horticulture, our goal is to help property managers and communities make informed decisions that protect the landscape investment for years to come.

Think it’s time for your landscape to receive enhancements or upgrades?

Creating an idyllic HOA community takes more than pretty buildings, nice amenities, and functional shared spaces. In order to truly stand out from the crowd and provide your residents with a desirable living environment, you need to take your landscaping to the next level.

The value of exceptional HOA landscaping cannot be overstated. Great curb appeal attracts visitors, appeals to potential buyers, and can improve home values. Beautiful, safe outdoor areas increase community camaraderie and boost living standards.

Of course, creating and maintaining such an environment is an investment. It takes time, effort, and money to live up to high expectations. That’s where HOA landscaping vendor selection comes into play.

The HOA landscaping company that you choose to entrust your community to can make or break your budget, curb appeal, everyday experience, and more. In fact, selecting an HOA landscaping company is one of the most important decisions you’ll make as an HOA board member or property manager.

So, what are the questions HOA boards should ask landscapers? What are the most important items on an HOA board landscaping contractor checklist?

Read on to learn more about choosing an HOA landscaping company with confidence. Then, sit back and enjoy the pristine outdoor spaces that define your community.

What's Inside This HOA Board Landscaping Guide

The must-ask questions HOA boards should ask landscaping companies

Focusing on services and specialties

How to ask for examples of landscaping work

Talking about pricing structures

The main FAQs on hiring landscaping companies for an HOA

How to Choose a Landscaping Company for an HOA Community

Because of the vital nature of selecting a landscaping company to care for your HOA community, having a process in place to aid in the decision is essential. Knowing what HOA landscaping company questions to ask, red flags to watch out for, and how to sort through all of the contenders in an efficient manner is a must.

When you are properly prepared for the decision-making process, you can feel confident in your choice and set your community up for immediate and long-term success. So, while every situation is nuanced, using the following questions as a framework is a great way to get started.

Do You Have Experience Working with Chicagoland HOA Communities?

Not every landscaping company is equipped to work with HOA communities. There are distinctions between smaller residential projects, commercial properties, and HOA communities, making this one of the easiest questions to filter out landscaping providers that might be a poor fit for your needs.

Shared spaces, such as common areas and sidewalks, differentiate an HOA community from other projects. So, too, does the residential nature of the environment. It requires a specific professional touch to provide consistent results that benefit the community while also respecting the privacy and boundaries of residents.

What Specific Services Do You Provide?

Clarifying exactly what services a landscaping company includes in its contract is one of the most important items on your HOA board landscaping contractor checklist. Some companies will use vague terminology to draw you in, then underdeliver.

For example, what does “lawn maintenance” mean? Do they send a professional crew on a schedule? Does it include edging, blowing, and cleanup? Does the landscaping company do regular inspections?

Understanding what is included in your contract before you sign it can save you from frustration and reduce the trap of “upgrades” and additional charges.

What Are Your Certifications and Specialties?

If your property has any specific needs, such as tree care, it is important to find an HOA landscaping crew that is equipped to deliver those services. In addition to these more niche needs, knowing what education, training, and qualifications a landscaping company has can give you the confidence to entrust your property to them.

Are You Licensed and Insured?

You may assume that every professional landscaper carries proper insurance coverage, but the reality is far from this expectation. To protect your community from exposure to liability, the HOA board should be assertive and ask for proof of any required licensing and insurance.

Look for documentation of general liability insurance and workers’ compensation (at a minimum). If a landscaping company is hesitant to provide evidence of these things or only offers verbal confirmation, it is best to find another company to hire.

How Will You Communicate with the HOA Board?

Even the best of HOA landscaping relationships can fall apart when communication falters. As an HOA board member, asking about lines of communication is key.

Do you have to call a generic phone number, get passed around between departments, and end up talking to someone with no real knowledge of your community, or will you have a single point of contact with an in-depth understanding of your property and contract?

Knowing how communication will be handled can make or break a potential relationship. It should be built on access, honesty, and transparency. If it isn’t, the partnership is likely doomed to fail from the start.

Can You Provide Examples of Your Work?

In the age of the Internet, you can do some preliminary research into most landscaping companies. However, online reviews can only provide limited context and information. The far better approach to evaluating a potential landscaping partner is to ask them directly for examples of their work.

Most professional landscaping companies will have an official portfolio to share with you. Such a portfolio should include photo documentation of their work, giving you a visual representation of the quality of work they perform. You can also ask for references, allowing you to speak to actual clients and learn from their experiences.

In addition to providing examples of their work to help your decision-making process, a landscaping company should be comfortable documenting their work once they are hired. This acts as evidence that they are fulfilling their contract, helps resolve disputes, and is a modern sign of professionalism and thoroughness.

How is Your Pricing Structured?

Pricing is at the heart of many HOA landscaping company questions. As much as your community might desire an endless landscaping budget, you undoubtedly have a budget to adhere to.

When it comes to financial questions HOA boards should ask landscapers, the first should be what their timeline is for delivering a quote. If they drag their feet on this, it is a red flag. Most companies should be able to provide a quote within a 48-hour window.

The second (and arguably most important) question regarding pricing relates to the contract structure. Are costs predictable and stable? Are certain services, including seasonal services, charged in addition to the contract agreement?

As-needed fees and service upgrades can add up quickly, causing you to exceed your budget or neglect key parts of your landscape. Get clear pricing structures in writing before you commit to working with a particular company.

How Do You Respond to Immediate Landscaping Needs?

While rare, landscaping emergencies do occur. Storms knock down branches, irrigation systems break, and unpredictable weather can cause unexpected issues.

Your HOA landscaping service provider should have systems in place to accommodate immediate landscaping needs. Ask them for clear response timelines, emergency job pricing, and the process of contacting them during non-business hours.

HOA Landscaping Vendor Selection FAQs

What are the most important HOA landscaping company questions?

In order for a professional relationship between a landscaping company and your HOA community to thrive, you must ask questions related to the scope of their services, the pricing structures they use, their licensing and insurance, and their communication methods.

While other questions can help you choose the right fit for your landscaping needs, these are the basics that should be used to narrow your search.

Why is the landscaping company selection process so important for HOA boards?

Who you entrust your HOA property to is one of the most impactful decisions you will make as an HOA board member. The appearance, functionality, health, and quality of your landscaping are some of the primary factors differentiating your community from another. It also sets the tone for your residents, improving their quality of life and pride in their home.

Landscaping is one of the most visibly noticeable aspects of an HOA community, and the budget often reflects this. The landscaping company you hire can consume a large portion of your funds, so the process should be taken seriously to get it right the first time.

What landscaping company red flags should HOA communities avoid?

Watch out for landscaping companies that are hesitant to provide you with documentation of their work, evidence of their certifications and insurance coverage, a detailed quote, and a clear contract. Poor communication is another serious issue that can quickly destroy a professional relationship.

How to Choose a Landscaping Company for an HOA Community

Partnering with a professional landscaping company is a long-term commitment that should benefit your community and provide real value to your residents. Rather than opting for the lowest bid or choosing the first search result you find, be thorough in your hiring process by using the questions above as you interview potential service providers.

HOA board members: If we asked you what was the most visible and scrutinized part of your community management, what would you say?

HOA board members: If we asked you what was the most visible and scrutinized part of your community management, what would you say?

We’re confident – and pretty willing to bet – that the answer is community landscaping.

Were we right?

The fact of the matter is that residents may never notice when everything looks great and is running smoothly. But the second there are overgrown shrubs, dead flowers, icy sidewalks, or patchy turf, they sure are noticing.

And when they do notice, those concerns often (quickly) make their way to board meetings.

One of the biggest challenges for HOA boards isn't just finding a landscaping contractor; it’s knowing whether that contractor is doing everything they should be doing throughout the year.

Should trees already be pruned? Is it too early for mulch? Why does the irrigation system seem to be running after it rains? Could those bare spots in the lawn have been prevented?

Without landscaping expertise on your side, these questions can be difficult to answer – but your residents are going to make sure that you do get them answered.

A proactive HOA seasonal landscaping calendar is the roadmap you need to stay up-to-date on what should be happening throughout the year.

Rather than reacting to problems, boards can evaluate whether their landscaping partner is staying ahead of seasonal needs, protecting the community's investment, and maintaining the space.

In short, a calendar ensures that your landscape partner is doing exactly what they said they would – and you don’t need landscaping expertise to make sure they stick to it.

While every schedule is different, we’re sharing what we think a comprehensive Chicagoland landscaping schedule could include.

What's Inside this Seasonal HOA Landscaping Calendar Guide

Why HOAs need a year-round landscaping plan in place

A must-consider HOA landscaping calendar schedule (Spring through Winter)

Why seasonal calendars can help HOA boards make better decisions

Seasonal landscape calendar FAQs

First Things First: Why HOAs Need a Year-Round Landscaping Plan

Chicago's climate changes dramatically, which means it doesn't allow landscaping to remain static year-round.

Communities like yours experience the whole gambit – freezing winters, wet springs, hot summers, and colorful (but demanding) falls. Every season presents different maintenance priorities, and missing one can create larger problems later.

A year-round maintenance strategy helps HOA boards like yours do a couple of important things simultaneously:

Maintain consistent curb appeal

Extend the life of landscape investments

Reduce emergency repairs

Improve resident satisfaction

Support predictable budgeting

Prevent small issues from becoming expensive replacements

Rather than thinking about landscaping as weekly mowing, successful communities treat it as ongoing property management that’s proactive and planned.

The HOA Landscape Seasonal Calendar to Consider

Spring (March-May): Setting the Stage for the Growing Season

After a long Midwest winter, spring is about inspection, cleanup, and preparing landscapes for healthy growth. This is one of the busiest and most important times of the year.

Spring Cleanup

Before new growth begins, crews should remove a lot:

Fallen branches

Winter debris

Remaining leaves

Damaged perennial material

Litter accumulated over winter

This immediately improves appearance while preparing planting beds for new growth.

Turf Recovery

Lawns often emerge from winter with snow mold, salt damage, compaction, or bare areas.

Spring services typically include:

Initial mowing

Edging

Fertilization

Pre-emergent weed control

Overseeding damaged turf

Spot repairs where needed

Addressing these issues early creates healthier turf throughout summer.

Bed Preparation

Landscape beds also need attention before the growing season begins. This often includes services like:

Fresh mulch installation

Bed edging

Weed removal

Soil cultivation

Seasonal flower installation

Fresh mulch improves appearance, but it also conserves moisture, moderates soil temperature, and suppresses weeds.

Tree & Shrub Evaluation

Winter weather can cause broken limbs, salt injury, or delayed plant stress. Spring inspections allow landscape professionals to identify storm damage, deadwood, pest concerns, disease symptoms, and plants needing replacement. Early intervention often prevents larger problems later in the season.

Irrigation Startup

Before summer arrives, irrigation systems should be carefully inspected to make sure they’re working and ready for their most demanding season.

This could include (depending on your system):

Activating the system

Checking sprinkler heads

Testing coverage

Looking for leaks

Programming seasonal schedules

Summer (June-August): Protecting Curb Appeal Through Peak Growing Season

Summer is when residents spend the most time outdoors, and is also most notably when landscaping receives the most attention.

Weekly Grounds Maintenance

A professional HOA grounds maintenance schedule should include routine services like:

Lawn mowing

String trimming

Sidewalk edging

Blowing hard surfaces clean

Weed management

Litter removal

Consistency is the key here. Since many people will be enjoying time outside, the area needs to look and function properly. Communities that receive dependable weekly maintenance maintain a polished appearance throughout the season.

Irrigation Monitoring

Chicago summers can shift quickly between periods of heavy rainfall and extended heat.

Rather than simply following a timer, irrigation systems should be monitored and adjusted based on:

Rainfall

Soil moisture

Plant needs

Water restrictions

Seasonal temperatures

This prevents both overwatering and drought stress.

Plant Health Care

Summer is when insects and diseases become the most active. Routine inspections help identify issues before they spread throughout the property.

Common monitoring in our neck of the woods usually includes:

Aphids

Japanese beetles

Leaf spot diseases

Powdery mildew

Bagworms on evergreens

Heat stress

Integrated plant health care helps preserve valuable trees and shrubs while minimizing unnecessary treatments.

Seasonal Color Rotations

Many HOA communities rely on annual flowers to create welcoming entrances and common areas.

Summer rotations often refresh containers, entry monuments, clubhouse landscaping, and gathering spaces with colorful plantings that remain attractive throughout the season.

Mid-Season Optional Enhancements

Summer is also a good time for smaller improvement projects, including:

Landscape bed renovations

Decorative stone installation

Shrub replacements

New perennial plantings

Minor hardscape improvements

These enhancements help communities continually improve without waiting for major renovations.

Fall (September-November): Preparing Landscapes for Winter

Fall is the most overlooked season for maintenance, but it may be the most important season for protecting next year's landscape. A proactive landscaping partner will manage leaves (as you’d expect), but above all, they’ll take a proactive approach to winter’s upcoming challenges.

Leaf Removal

Regular leaf removal keeps lawns healthy while maintaining an attractive appearance throughout the community.

Excess leaves left on turf can:

Block sunlight

Trap moisture

Encourage disease

Smother grass over winter

Multiple visits are often necessary as different tree species drop leaves throughout the season.

Tree & Shrub Pruning

Fall is an excellent time to evaluate structural pruning needs.

Removing damaged or hazardous branches before winter storms improves safety while protecting nearby buildings, sidewalks, and vehicles.

Fall Fertilization

Cool-season grasses common throughout northern Illinois benefit significantly from fall fertilization. This helps strengthen root systems, improve winter hardiness, and encourage healthy spring green-up. For many lawns, fall fertilization is one of the most valuable treatments of the year.

Bulb Planting

Communities looking for vibrant spring color have to plan to tackle this goal. Fall is the ideal time to install bulbs such as tulips, daffodils, alliums, and crocuses for vibrant and beautiful displays the following spring.

Irrigation Winterization

This is one of the most important maintenance services to tackle before winter arrives. Before freezing temperatures arrive, irrigation systems must be professionally winterized. This process removes water from irrigation lines to prevent freezing, cracked pipes, and costly spring repairs.

Winter (December-February): Planning While Keeping Communities Safe

Although plant growth slows, landscape management doesn't stop just because it starts snowing and the temperatures drop. Often, winter shifts priorities toward safety, planning, and protecting infrastructure rather than landscape maintenance.

Snow & Ice Management

For HOA communities, prompt snow removal is a must for resident safety and accessibility.

Services often include (but aren’t limited to):

Sidewalk clearing

Parking lot snow removal

Entryway access

Ice monitoring

Salt or deicing applications

Reliable response during winter weather helps reduce liability while maintaining normal community operations.

Winter Tree Inspections

Without leaves, tree structure becomes a lot easier to evaluate. During this phase, you can get winter inspections that can easily identify crossing branches, structural weaknesses, storm damage, and upcoming pruning needs.

Landscape Planning

Winter is also an ideal time for HOA boards to evaluate community priorities for the coming year and plan accordingly with their landscape team.

This could include projects like:

Entrance renovations

Plant replacements

Irrigation upgrades

Budget planning

Long-term capital improvements

Sustainability initiatives

Planning during winter allows projects to begin early in spring instead of waiting until peak season.

Why a Seasonal Calendar Helps HOA Boards Like Yours Make Better Decisions

In a word: Planning.

Many HOA boards aren't looking to become landscaping experts themselves, but they do want to be confident that their contractor is staying ahead of problems and giving them the knowledge and foresight needed to make better decisions ahead of time.

A documented HOA landscaping maintenance calendar creates accountability by establishing expectations throughout the year. In turn, that allows HOA boards to know what to expect and preemptively make choices that could better the community in the long run.

Rather than wondering whether enough is being done, boards can evaluate whether seasonal services are occurring proactively. A reliable and expert landscaping partner should also communicate:

Upcoming seasonal priorities

Recommended enhancements

Plant health observations

Budget considerations

Safety concerns

Long-term improvement opportunities

This proactive communication helps boards make informed decisions while avoiding surprises during board meetings or budget season. Ultimately, great landscape management helps to prevent complaints, not just react quickly to them.

Frequently Asked HOA Landscape Calendar Questions

What should an HOA landscaping contractor do throughout the year?

It’s ultimately going to depend on your goals, your property challenges, and what you decide – but a comprehensive contractor should provide seasonally appropriate services ahead of schedule. This could include spring cleanup, mowing, irrigation management, plant health care, pruning, mulch installation, seasonal flowers, fall cleanup, irrigation winterization, and snow and ice management during winter – but it’s not limited to those services.

How often should HOA landscaping services occur?

Routine maintenance (like mowing) typically occurs weekly during the growing season, while services like fertilization, pruning, mulch installation, seasonal flowers, irrigation adjustments, and plant health care are scheduled throughout the year based on seasonal needs. It all depends on what your goals are, how often you want your maintenance team there, the season, and what your budget is.

Why is a seasonal landscaping calendar important for HOA boards?

Beyond just knowing what to expect, a seasonal calendar helps boards evaluate contractor performance, plan budgets, and ensure the community remains attractive year-round.

When should HOA communities plan landscaping improvements?

It truly depends on the HOA board, the budget, and their goals, but often, winter is the best time to discuss landscape enhancements and capital improvement projects. Planning allows designs, budgeting, and scheduling to be completed before the spring season begins.

Does year-round landscape management save money?

Without a doubt. Proactive maintenance helps identify issues early, protects trees and shrubs, extends the life of landscape investments, and reduces the likelihood of costly emergency repairs or large-scale plant replacements.
